Category note: Desks and task chairs are the biggest furniture line in a coworking fit-out and the pieces members touch every working hour, so buy them as an operator, not a homeowner. (1) Test to the right standard for your market. In North America ask for ANSI/BIFMA X5.1 (general-purpose office chairs, current edition X5.1-2017 R2022), whose loads are built around a 95th-percentile user of about 115 kg (253 lb) and a ten-year life at single-shift use; for heavier members there is X5.11 (large occupants, tested to 181 kg / 400 lb). Desks and height-adjustable tables are tested to ANSI/BIFMA X5.5-2021, and in the US the electrical safety of a motorised desk sits under UL 962. In Europe the chair standard is EN 1335 (Part 1:2020+A1:2022 for dimensions, Part 2:2018 for safety and durability, based on 8 hours a day and users up to 110 kg) and the desk standard is EN 527 (EN 527-1:2011 sets a 650 to 1,250 mm range for sit-stand desks; EN 527-2 covers strength and durability). In Australia and New Zealand look for AS/NZS 4438 Level 6 or an AFRDI Standard 142 rating (135, 160 or 185 kg, single-shift or multi-shift) on chairs, and AS/NZS 4442:2018 on desks; the AFRDI Blue Tick means the product is retested every three years. India made the ISI mark mandatory from February 2026 for work chairs (IS 17631), chairs and stools (IS 17632) and desks and tables (IS 17633) under the Furniture Quality Control Order 2025, so imported contract furniture must now carry BIS certification (check the latest Gazette position before ordering). Japan has JIS S 1032 for office chairs; Singapore, Thailand and most of South-east Asia have no local mandatory standard, so ask for the BIFMA or EN report. (2) Read the warranty for shift and rental clauses. A coworking chair is sat in by several people a week and often for 10 or more hours a day. Warranties vary far more than the headline years suggest: Herman Miller covers 12 years for 24-hour, three-shift use and Steelcase's global warranty applies "regardless of shift usage", while Interstuhl and Nowy Styl base their cover on single-shift use and shorten it proportionally for longer hours, and Senator's North American terms assume single-shift use. HON and Nowy Styl exclude rental use from warranty; ask the dealer in writing whether a coworking licence counts before you rely on it. (3) Adjustable or self-adjusting. Members will not read a manual. Either buy chairs with obvious controls and a wide range (BIFMA G1-2013 designs for the 5th to 95th percentile), or buy self-adjusting mechanisms that respond to body weight (Humanscale Freedom, Vitra AutoMotion, Itoki SHIGA's single lever). A fully adjustable chair nobody adjusts performs like a cheap one. (4) Sit-stand: where it earns its cost. The Cochrane review of workplace sit-stand desks found they cut sitting by about 100 minutes a day in the first three months and about 57 minutes at three to twelve months, on low-quality evidence that fades over time. That argues for sit-stand in dedicated desks and private offices, where one person sets the height, and for a few standing-height touchdown points in open areas, rather than motorising every hot desk (operator judgement: see the questions for Jonathan). Where you do buy motorised desks, read the warranty by component (frame, motor, control box, desktop), because the headline figure often covers the frame only. (5) Tier the floor, and price it honestly. Published US list prices on 30 Sep 2026 run from about US$280 to 300 (Sihoo Doro C300 on sale, IKEA MARKUS) through US$550 to 1,500 (Steelcase Series 1 to Gesture, as quoted by a US dealer) to US$1,345 to 2,305 (Herman Miller Cosm to Aeron); Asia-Pacific retail sits in the same bands (MARKUS S$199 in Singapore, Ergohuman Elite 2 S$798, HÅG Capisco from S$1,568). Contract buyers rarely pay list, but dealer discounts are not published, so ask for a landed, installed price. Most operators put premium chairs in private offices and quiet zones and a durable mid-tier chair on hot desks. (6) Consolidation and APAC routes to market. HNI completed its purchase of Steelcase on 10 December 2025, creating a group with about US$5.8bn in pro forma revenue that now also owns HON, Allsteel, Gunlocke and HBF; Okamura bought Boss Design in April 2025; Kokuyo has owned Hong Kong's Lamex since 2022. In South-east Asia the Japanese groups have their own subsidiaries (Okamura in Singapore, Malaysia, Thailand, Vietnam and Indonesia; Kokuyo in Singapore, Malaysia and Thailand; Itoki through Tarkus in Singapore and Malaysia and Itoki Modernform in Thailand), and most US and European brands arrive through multi-brand dealers such as Xtra in Singapore.
