Member Management & CRM
Vendor landscape for member management and CRM in coworking: 6 tools for lead capture, sales pipeline and member lifecycle beyond the platform's own.
Category note: Your coworking OS probably already has one — start there. Every major management platform (see CAT-11) ships a CRM module: Nexudus and OfficeRnD have dedicated CRM hubs, Archie positions itself as the CRM-focused platform, and Coworks includes a built-in leads database. For most single-site operators that's enough. For more advanced customer management, here are the tools the industry uses — typically added when marketing pipelines, corporate sales cycles, or multi-location complexity outgrow the built-in module. The buying question is not "which CRM is best" but "does it two-way sync companies, members and opportunities with your coworking platform" — a broken sync means double data entry forever. HubSpot leads on native coworking integrations (OfficeRnD, Nexudus); most others connect via Zapier or Make (CAT-22). For where the leads come from, see the listing and marketplace platforms in CAT-16.
Vendors
| Vendor | Origin | Markets Served | Segment | Notes |
|---|---|---|---|---|
| HubSpot | United States (Cambridge, MA) | Global | SMB-Enterprise | The coworking default. Native two-way sync with OfficeRnD Flex and Nexudus; genuinely useful free tier; costs climb steeply into the Professional tiers. |
| Salesforce | United States (San Francisco) | Global | Enterprise | The multi-location / enterprise pick; deepest customization, heaviest implementation. No confirmed native coworking-platform connector — expect API or middleware work. |
| Pipedrive | Estonia (HQ now New York) | Global | SMB-Mid | Visual sales-pipeline specialist — sales only, no marketing or support modules. Renamed its plan tiers in 2025, so older tier names in reviews are stale. |
| Zoho CRM | India (Chennai) | Global | SMB-Mid | The value pick: near-enterprise features at a fraction of the price; denser UI and steeper learning curve. Zoho One bundle adds 45+ business apps. |
| Capsule CRM | United Kingdom (Manchester) | Global | SMB | Cited by operators as the independent-coworking favorite: simple, fast to adopt, transparent pricing. Standalone CRM with a free tier. |
| Freshsales | India / United States (Freshworks) | Global | SMB-Mid | Value CRM with built-in telephony and Freddy AI on paid plans; cleaner UI than Zoho at a similar price. Part of the Freshworks suite. |
Vendor Detail
HubSpot
- Origin: United States (Cambridge, MA)
- Markets served: Global
- Segment: SMB-Enterprise
- Notes: The coworking industry's default dedicated CRM. Native two-way synchronization of companies, members and opportunities with OfficeRnD Flex (with configurable property mapping) and a native Nexudus integration; Coworks' built-in CRM also connects to it, and Cobot recommends connecting via Zapier. Operator caveat: partners report the native OfficeRnD sync won't create net-new contacts in HubSpot in some directions and doesn't pass custom fields (e.g. membership status), so complex onboarding/renewal automations may need bespoke API work. Free tier is genuinely useful for small teams.
- Website: hubspot.com
- Pricing model: Free core CRM (unlimited users, basic features); Starter from ~$15/seat/mo; steep jump into Professional tiers (Sales Hub Professional ~$90-100/seat/mo).
- Key integrations: OfficeRnD Flex (native two-way), Nexudus (native), Coworks, Cobot/Optix via Zapier; native Salesforce sync; 1,500+ app marketplace.
- Compliance / certs: SOC 2 Type II, ISO 27001, GDPR.
- Research status: Researched
Salesforce
- Origin: United States (San Francisco)
- Markets served: Global
- Segment: Enterprise
- Notes: The enterprise standard (~23% CRM market share) and the pick for multi-location operators with complex corporate sales. Named TechRadar's best overall CRM in 2025 for depth and scalability. No native coworking-platform connector confirmed — operators typically integrate via API, middleware (MuleSoft, Zapier), or the native HubSpot-Salesforce sync. Real cost is implementation ($5k-50k typical) plus ongoing admin, and useful features push most buyers past the advertised Professional tier.
- Website: salesforce.com
- Pricing model: Starter Suite $25/user/mo (max 10 users); Professional ~$75-80; Enterprise ~$150-165; Unlimited ~$300/user/mo — plus implementation and admin costs.
- Key integrations: AppExchange ecosystem; MuleSoft; HubSpot native sync; coworking platforms via API/Zapier (native connectors unconfirmed).
- Compliance / certs: SOC 1/2/3, ISO 27001, GDPR; government-cloud options.
- Research status: Researched
Pipedrive
- Origin: Estonia (founded 2010; HQ now New York)
- Markets served: Global
- Segment: SMB-Mid
- Notes: Sales-pipeline specialist built around a visual drag-and-drop deal flow — consistently the fastest CRM for non-technical teams to adopt. Deliberately narrow: no marketing automation or support modules, so growing operators sometimes outgrow it. AI sales assistant now included on all tiers. Note: Pipedrive renamed its plan tiers in 2025, so "Essential/Professional" tier names in older reviews are stale.
- Website: pipedrive.com
- Pricing model: ~$14-99/user/mo across five tiers (annual billing); add-ons (e.g. Campaigns, LeadBooster) priced separately.
- Key integrations: 400+ marketplace apps; Zapier/Make to Cobot and other coworking platforms; Gmail/Microsoft 365 sync.
- Compliance / certs: GDPR; SOC 2 (current scope unconfirmed).
- Research status: Researched
Zoho CRM
- Origin: India (Chennai)
- Markets served: Global
- Segment: SMB-Mid
- Notes: The price-to-feature leader — Professional-tier features that cost 3x elsewhere, with Zia AI included at the Enterprise tier. Trade-offs are a denser interface, steeper learning curve, and thinner enterprise middleware options. The Zoho One bundle (~$45/user/mo for 45+ apps spanning CRM, accounting, projects, HR) is a common small-operator play. Free tier capped at 3 users / 5,000 records — an evaluation tool rather than a production plan.
- Website: zoho.com/crm
- Pricing model: Free ≤3 users; Standard ~$14 → Professional ~$23 → Enterprise ~$40 → Ultimate ~$52/user/mo (annual billing).
- Key integrations: Zoho ecosystem (Books, Desk, Campaigns); Zapier and Zoho Flow to coworking platforms; marketplace.
- Compliance / certs: ISO 27001, SOC 2, GDPR.
- Research status: Researched
Capsule CRM
- Origin: United Kingdom (Manchester, founded 2009)
- Markets served: Global
- Segment: SMB
- Notes: Cited in operator-facing guides (including Cobot's operator handbook) as a favorite of independent coworking operators for its simplicity and integration flexibility. A deliberately standalone, no-bloat CRM — contacts, pipeline, tasks, projects — that most teams learn in hours. Companion product Transpond adds email marketing. Limits to know: workflow automation starts at the Growth plan, and there's no native telephony.
- Website: capsulecrm.com
- Pricing model: Free ≤2 users / 250 contacts; Starter $18 → Growth $36 → Advanced ~$54-60 → Ultimate ~$72/user/mo (annual billing; transparent, no onboarding fees).
- Key integrations: Google Workspace, Microsoft 365, Xero, QuickBooks, Mailchimp, Transpond; coworking platforms via Zapier.
- Compliance / certs: GDPR (UK); further certs unconfirmed.
- Research status: Researched
Freshsales
- Origin: India / United States (Freshworks — founded Chennai, HQ San Mateo; Nasdaq: FRSH)
- Markets served: Global
- Segment: SMB-Mid
- Notes: The value alternative with batteries included — built-in cloud telephony on paid plans and Freddy AI for lead scoring, with a cleaner UI than Zoho at a similar price point. Part of the Freshworks suite alongside Freshdesk (helpdesk, see CAT-21). Operator cautions from reviews: the Freshsales-Freshdesk sync requires the Pro tier or above (not Growth), and support runs weekdays only.
- Website: freshworks.com
- Pricing model: Free tier; Growth ~$9-11 → Pro ~$39-47 → Enterprise ~$59-69/user/mo (annual billing).
- Key integrations: Freshworks suite (Freshdesk sync from Pro tier); Zapier; Freshworks Marketplace.
- Compliance / certs: SOC 2, ISO 27001, GDPR (Freshworks; verify per product).
- Research status: Researched
